The Department of Biostatistics within the UW School of Public Health has an outstanding opportunity for a Manager of Academic Events.

The Manager of Academic Events (MAE) is responsible for advancing the visibility and sustainability of the educational programs outside the department’s traditional degrees.  These efforts have in common the need to create, market, and steward the public reputation of the Department of Biostatistics with the goal of building lasting relationships that result in increased enrollment in the department's short courses and conference workshops.

Specific duties include the following:

 

  • Create, plan, execute and evaluate multi-day and multi-week events that range in size and complexity from large-scale short-course programs to small meetings, including the Department’s Summer Institutes (5 weeks, 550 participants), the Seattle Symposium (4 days, 500 participants), and other one-time conferences. 
  • Oversee and manage all event logistics. Identify appropriate guest lists and subsequent RSVP lists; coordinate transportation/parking and security issues; select venues, menus and décor; negotiate and retain caterers and other vendors. Independently manage the entire pre-event registration process and on-site activity of events.
  • Create and maintain a range of outreach efforts to attract attendees to Departmental events through methods including, but not limited to, the following:  social media, department web site notices, direct mail, print advertising, online advertising, press releases, and direct contact.
  • Identify audiences, locations, and co-sponsoring institutions and companies appropriate to the scholarly short courses presented by the Department of Biostatistics.
  • Manage event and program budgets, authorize purchases, maintain spending records, accurately code invoices, create financial reports, and forecast expenditures.  Facilitate speaker travel, lodging, honoraria, and expense reimbursements.  Review and approve events and services to be provided for compliance with applicable laws, regulations, and institutional policies.

REQUIREMENTS:
  • Bachelor's degree in Marketing, Fundraising, Business, or related field and six to eight years of experience in event management, marketing, fundraising, or recruitment. 

    Additional Requirements:
  • Experience managing large events from start to finish, including event registration and outreach.
  • Excellent written communication and oral presentation skills.
  • Proficiency using PC computers.  Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc. 

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED:
  • Experience in events management, academic conference coordination, online education recruitment, contract negotiation, event registration software, web site content design/management.
Condition of Employment:
Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.

 

  • Must have regular and reliable transportation for local travel and willing to travel when necessary.
  • Frequent local travel expected.
  • During Events (from setup to tear down) or on Event days:
       - Ability to stand 4 or more hours continuously.
       - Ability to walk 4 or more hours continuously.
       - Ability Standing:  duration of 4+ hours for events
       - Ability to work greater than a 10 hour day
